Manage: Facilities

Facilities are any object that can be reserved by someone using your scheduling system. Examples of facilities include classrooms, labs, conference rooms, athletics facilities, mobile laptop stations, even bulletin boards and trophy cases.

Facilities are grouped into arbitrary Facility Groups. For example, place all of your conference rooms into one Facility Group, and all your computer labs into a different Facility Group. You must have at least one group.

Adding a new Facility Group

Click Manage -> Facilities -> Add a New Facility Group.

Once you have created a Facility Group, click any box to change the value of that field.

Notes on specific fields

Facility Group Order

Order of appearance on some schedule views, as well as the Request and Reservation Screens. Lower numbers appear before higher numbers. If an order is not given, unordered Groups appear alphabetically. Click the Refresh link to see your Facility Groups in their new Order.

Facility Group Description

This description will appear in the Kiosk View, and the Request and Reservation Screens.

Adding a new Facility

Under any Facility Group, click [Add a new Facility to (name of Facility Group)]

Once you have created a new Facility, click any boxed field to change it.

Notes on specific fields

Facility Long Name

Long Names of Facilities appear in Request and Reservation Screens.

Facility Short Name

Short Names of Facilities appear in Schedule views.

Facility Color

HTML color code. This should be a light color, as the text on top of it will be black.

Facility Order

Order of appearance within the same Facility Group. Lower numbers appear before higher numbers. If an order is not given, unordered Facilities appear alphabetically. Click the Refresh link to see your Facilities in their new Order.

Use Stations, # Stations, Station Name

If you will allow multiple Reservations for a Facility, you can use the Stations feature to help prevent overbooking. For example, if a computer lab has 30 computers, enter 30 in the # Stations field, and Computer or PC in the Station Name field. Once you set Use Stations to Yes, the number of stations will appear in the Schedule Views and Reservation Screen. Station Names should be singular ("Workstation" instead of "Workstations").

Public: Yes/No

Facility is Public; otherwise, Facility is only shown when you are logged in. Useful for Facilities that are only need to be known to Scheduling Managers.

Allow Guest Reservations: Yes/No

If you allow Guest Reservations on the System Setup Screen, this Facility can be publicly scheduled.

Allow Guest Requests: Yes/No

If you allow Guest Requests on the System Setup Screen, this Facility can be publicly scheduled.
